"Wait 1–2 weeks" is safe but too conservative.
The data says the real decision window is 6–10 days. Most first replies come within the first 8 days. After day 14, the probability of a positive reply drops sharply. After day 45, it is statistically unlikely to result in future communication. The optimal follow-up window is day 5–10, depending on the ATS and company size.

Small companies (<100) ghost 2× more than large enterprises — response rate as low as 5.83% vs. 11.44% at large enterprises (Interview Guys 2025). But small companies also respond fastest when they do respond. The follow-up is most valuable at small companies because they are most likely to have lost your application in the noise.

80% of HR managers say follow-up messages positively influence hiring decisions

A single follow-up can increase reply rates by 21%

The follow-up playbook
Day 5–7 after applying: one short, specific email to the recruiter or hiring manager. Reference the role, re-state one relevant achievement, ask a forward-looking question.
Day 12–14 if still silent: a second, value-add follow-up (new credential, relevant project, industry insight). Then stop.
If you interviewed: send a thank-you within 24 hours. 80% of HR managers factor thank-you notes into decisions.
Do not follow up more than 2–3 times for the same role. Beyond that, persistence becomes a negative signal.

Email
Default for all formal follow-ups
Highest reply rate for most roles. 94% of HR managers say email is appropriate.
Accountemps 2017
LinkedIn
Warm second touch after email, or when no email is available
19.4% connection acceptance; 34.2% reply after accepted; InMail only 5.5%.
Noon 2026 (844K sequences)
Phone
Startups, senior roles, after an email touch
Best time: Tuesday 10 AM, 20–22% higher callback rate. Keep under 3 minutes.
Voicedrop/Regus 2026
The optimal multi-channel sequence: email on day 1, LinkedIn connection on day 4, phone call on day 8 (HiringReach 2026). But for most applications, a single email follow-up at the right time is sufficient.

When NOT to follow up: 8 cases.

HiredKit 2025 (follow-up reply-rate lift).
Zippia (23–24% follow-up rate, cited by jobstrack.io 2026).
The 6.7-day median is from a 1,000+ candidate survey, not from ATS platform data. ATS-specific response times are inferred from platform-level ghosting rates and recruiter reports, not from a controlled experiment. Company-size timing is from career-advice blogs, not from a randomized study. The 21% follow-up reply-rate lift is from cold-email/sales benchmarks (HiredKit, Backlinko, Woodpecker), not strictly from job-application follow-ups. The Accountemps data is from 2017–2018 and may not reflect 2026 recruiter preferences exactly.
