Most applications simply vanish. Only a minority ever receive an explicit "no." In the U.S., employers generally have no legal obligation to notify rejected applicants. Ontario and some U.K./EU jurisdictions are tightening rules for interviewed candidates, but the pre-interview black hole is still largely unregulated.

- Ghost jobs — you can spot signals, but cannot force the employer to be real.
- Volume — you cannot stop 250–1,000 people from applying.
- Internal candidates — the seat may already have a name on it.

The 10-point diagnostic: why did YOUR application vanish?
Use this checklist to triage a silent application. Most silent applications fail for one or more of these reasons — and most are fixable on the next one.
- Is the job real? Posted over 30 days? Reposted repeatedly? No hiring manager named? Likely a ghost job.
- Did I apply early enough? After day 5–7, odds drop significantly. Apply in the first 24–48 hours.
- Am I a genuine match? Do I meet at least 70% of the hard requirements? If not, silence is expected.
- Is my resume ATS-safe? Single-column, standard fonts, no tables, no graphics, contact info outside headers/footers.
- Are my keywords aligned? Does the JD language appear in my resume? Are skills and tools spelled the same way?
- Did I answer knockout questions correctly? Years of experience, work authorization, location, salary — a wrong answer auto-disqualifies.
- Did I complete every required field? Missing attachments, blank answers, or skipped fields hurt.
- Did I include a referral or warm intro? Referred candidates convert 7–11× better. No referral = competing at the bottom.
- Did I apply at the right time? Tuesday/Wednesday 8–10 a.m. local time is the data-supported sweet spot.
- Did I follow up? One polite follow-up after 5–7 business days can move a borderline application back into view.
Before your next application, run your resume through the resume ATS checker to see what the parser extracts. If your contact info, work history, or skills are not parsing correctly, that alone could explain the silence.
No response vs. rejection: the difference matters.
"No response" means the employer never sent a status update. This is the 75% baseline. "Rejection" means an explicit communication (email, portal status, phone) saying you are not moving forward. This is increasingly rare.
Indeed's Ghosting in Hiring report (n=9,033) found that 35% of applicants never received even an auto-confirmation. The application went into a system and was never surfaced to a human. This is the black hole.
Response rates by industry and seniority.
Response rates vary dramatically by sector and seniority. If you are in a high-volume, entry-level tech role, a 1–2% response rate is normal. If you are in healthcare or education, 13–20% is achievable.

If your application vanished, one follow-up can bring it back into view. The data is clear: 80% of HR managers say follow-up messages positively influence decisions, but only 23% of candidates actually send one.
The follow-up playbook
- Day 5–7 after applying: one short, specific email to the recruiter or hiring manager. Reference the role, re-state one relevant achievement, ask a forward-looking question.
- Day 12–14 if still silent: a second, value-add follow-up (new credential, relevant project, industry insight). Then stop.
- If you interviewed: send a thank-you within 24 hours. 80% of HR managers factor thank-you notes into decisions.
- Do not follow up more than 2–3 times for the same role. Beyond that, persistence becomes a negative signal.
