Confirm what was actually submitted.
- Open the confirmation email and the application record.
- Look for the attachment name, upload timestamp, or a downloadable copy.
- Compare the submitted file with the intended file—not only the filenames.
- Save the requisition ID, deadline, and any update or contact instructions.
Some portals do not show the earlier file. Greenhouse warns that a resume from a prior application may not be visible in MyGreenhouse and that the most recently uploaded profile resume becomes the default for future use. That does not prove an earlier employer received the newer file. See the MyGreenhouse candidate FAQ.
Judge the difference, not the filename.
| What was submitted? | Likely severity | Proportionate response |
|---|---|---|
| Older resume with the same accurate experience | Low to medium | Compare the differences. If the newer version only improves wording, leave the application unless an official replacement option exists. |
| Generic resume instead of the tailored version | Usually medium | Correct only when the tailored version contains materially relevant evidence missing from the submitted file. |
| Resume for another profession or substantially different role | High | Use an official replacement flow or send one concise correction with the intended file. |
| Resume contains an incorrect date, title, credential, or employer | High | Correct the factual record promptly and clearly. |
| Application submitted without an optional resume | Varies | Do not assume you can reopen the form. Contact the poster only if a resume would materially affect review and a contact is provided. |
| Application submitted without a required resume | High | Verify whether submission completed, then use the documented support or employer contact channel immediately. |
If the file is accurate and demonstrates the required experience, replacing it may add little value. Prioritize corrections that change the employer's understanding of your identity, qualifications, eligibility, or relevant evidence.
Use the recovery route the platform actually supports.
If the portal offers document replacement
Replace the file, complete every resubmission step, and save the new confirmation. On USAJOBS, updates are possible only while the announcement is open; the agency sees old and new information but reviews the most recent submission. Read the official USAJOBS instructions.
If you used LinkedIn Easy Apply
LinkedIn says submitted Easy Apply applications cannot be edited or withdrawn. Its resume help also says an application submitted without a resume cannot be reopened to attach one or reapplied to the same job post; if contact information is available, you can contact the poster. Read LinkedIn's resume guidance.
If no update function exists
Use the recruiter or application-support contact shown in the posting, portal, or confirmation. If there is no legitimate channel and the difference is not material, leave the application intact. Do not guess an employee's email pattern or send the resume to a broad list.
Send the intended file with an unambiguous name.
Subject: Correct resume — [job title], [requisition ID]
Hello [name or hiring team], I applied for [job title] on [date] and realized I attached the wrong resume version. The attached file, [FirstName-LastName-JobTitle-Resume.pdf], is the intended and accurate version. If application updates are accepted, please use this file with my application. I apologize for the mix-up and appreciate your help.
Attach only the intended document unless the employer requests more. Make sure the email, phone, dates, and job title in the replacement match the application. If the old file contains inaccurate material information, identify the corrected fact in the message rather than silently swapping documents.
Prevent the version problem at the next submission.
- Use a readable filename with your name, target role, and version date.
- Move outdated exports into an archive folder instead of leaving them beside current files.
- Open the selected attachment from the upload control before submitting.
- Record the filename and resume version with the application.
- Run the pre-submit checklist and keep the record in the application tracker.
Common wrong-resume questions.
It depends on what was wrong. An accurate older version may still be usable; a resume for another role or one containing false material information deserves a prompt correction.
No. Use one relevant, documented contact and one clear message. Multiple copies to unrelated employees can make version control harder.
Only if the platform and employer allow it. A duplicate may be blocked or create two records. Check for an update option or ask before withdrawing and reapplying.
